ProHealth Physicians is a physician-led medical group with 85 practice locations throughout Connecticut serving more than 10% of the state's residents. We empower physicians and advanced clinicians to better serve patients through enhanced care processes in support of improved patient outcomes. Formed in 1997, ProHealth Physicians has grown to include more than 350 primary care and specialty clinicians and offers select specialty and diagnostic/therapeutic services.

The Site Administrator will provide leadership and management at a ProHealth multi-practice facility including a variety of healthcare services such as primary care practices (adult and pediatric), specialty care, Express Care center, lab and imaging services. They will be responsible for the operational management and coordination of overall day-to-day activities, clinical services and programs, and staff. In addition, the Site Administrator will collaborate with the physician site lead and the corporate regional team to ensure appropriate systems, policies and procedures are in place to drive quality clinical outcomes, health and safety guidelines, productivity metrics, patient, staff and provider satisfaction, and financial performance. Other duties include partnering with providers, staff, and the site's corporate regional team to develop and implement the practice business plans, measure performance, and develop and implement improvements.

Primary Responsibilities:

  • Manage day-to-day operations by handling issues within the site with clinical site leader and/or appropriate leadership, while fostering an environment of continuous improvement and maintaining high standards for service
  • Ensure the highest level of patient satisfaction within the site

    • Interact with patients, respond to, and address concerns or issues as needed
    • Work with providers, staff, leadership, and others to address and prevent issues
    • Implement ProHealth customer services standards and programs

    • Overall operational responsibility for the routine business and clinical functions including:

      • Direct oversite of the Admin Supervisor and associated direct reports
      • Collaborate with Regional Nurse Manager on the oversight (dotted line) of the Nurse Supervisor and associated direct reports
      • Ensure appropriate staffing levels and timely, accurate submission of payroll, management of staff time off requests and provider time off requests
      • Hire, Onboard and develop culture of engagement at site
      • Ensure appropriate supplies, equipment, signage, cleanliness of site, maintenance of the grounds and safety of the facility

      • Works collaboratively with the Regional Medical Director and other Medical Leadership in assuring quality patient care is provided in an efficient and cost efficient manner while meeting all regulatory standards
      • Collaborate with Site Medical Director to foster, develop and maintain strong positive relationships with providers. Assist Regional Director for the onboarding of new site providers and off-boarding of site providers leaving the organization
      • Actively participate in the development of organization-wide practice management strategies that will provide appropriate levels of practice operations standardization and meet the organization's short- and long-term goals. Provide site leadership in the implementation of those strategies
      • Demonstrate a continuous process improvement focus through the ongoing analysis of site operations to determine potential areas for improvement, engaging all members of the care team as appropriate, and providing leadership and assistance in the implementation of improvements
      • Participate in financial analysis and strategic planning for the site practices
      • Work with Regional Director to lead site financial management activities, including the development and maintenance of annual budgets and expense management. . Monitor with explanations of variances and action steps needed to achieve budget
      • Review and communicate practice and provider scorecards. Provide leadership in troubleshooting areas of deficiency and work with appropriate constituents to implement strategies/tactics for improvement, ensuring that goals and objectives of the site, providers, practices and organization are met
      • Other duties as assigned

        Required Qualifications:

        • BA/BS in Business Administration, Healthcare Administration, Finance or related field
        • 7+ years of managerial experience (in a medical group practice preferred)
        • Proven experience in coordinating and managing physician office practices
        • Demonstrated business and financial planning skills such as budgeting, staffing ratios, productivity metrics, healthcare billing, and collections, etc.
        • Ability to facilitate multi-disciplinary teams on improvement projects that incorporate LEAN principles
        • Proficient in a variety of software products/systems such as Microsoft Office Excel, Word, PowerPoint, Electronic Medical Record, scheduling, budgeting, etc.
        • Full COVID-19 vaccination is an essential job function of this role. Candidates located in states that mandate COVID-19 booster doses must also comply with those state requirements.             Connecticut Residents Only: The salary range for Connecticut residents is $90,500 to $161,600.
