Administrative Assistant FT - Middletown, CT
Overview:
Are you seeking an opportunity to join a rapidly growing specialty,

We are seeking a multi-tasker, someone who is efficient, nimble and
empathetic to run the day-to-day operations of our bustling
Braintree eating disorder clinic. The ideal candidate will be able
to prioritize the tasks at hand, keep the office running smoothly
and work with our clinical and support staff to provide a warm and
friendly patient and family experience.
Job Responsibilities include:
Client Interactions
Greet all people who enter the clinic with a warm and friendly
demeanor.
Answer phone in a positive, upbeat manner and provide information
that caller needs or transfer to the person who is best equipped to
answer questions.
Work collaboratively with the Client Navigator, who is managing
potential client inquiries and process associated.
Manage current client insurance status, client collections and
co-pays weekly.
Office Administration Tasks
Maintain daily attendance and input census data to appropriate
sites internally
Organize, manage and distribute daily faxes through Outlook
Input and manage client lab work, medication refills and collect
lab results for patients
Scan, update and upkeep client charts with required paperwork and
documentation
Assist clinicians with client step-ups and step-downs, managing
paperwork, securing collections and assuring a smooth
transition
Manage discharge and disposition forms
Manage and track daily transportation issues for patients
Manage and track PT1 and VEYO for patients
Support MHC's with program preparation to assure room is prepared
prior to program
Support Program Director and team to assure calendars are up to
date
Assist Program Director with insurance denials
Comply with internal policies and procedures and applicable
external regulatory requirements
Environmental Management Tasks
Process site invoices in a timely manner
Order office supplies including medical gowns, cleaning supplies
and food
Manage 'Fire' binder and oversee environmental items for location
including but not limited to fire extinguishers and emergency
lights
Maintain clean kitchen and refrigerator daily, assuring everything
is appropriately labeled
Assure clinic is clean and all items are where they belong
daily
Education:
High school diploma and some college preferred however past
experience working in an office setting is most important
Experience:
Minimum of 2 years administrative experience in a similar
environment
Proficient in Word, Excel and Outlook
QuickBooks experience, preferred
Licensure/Certification:
CPR preferred
Knowledge:
Knowledge of mental illness, including eating disorders
preferred.
Knowledge of basic medical terminology preferred.
Knowledge of insurance and billing preferred
Required competencies:
Computer proficiency required
Strong organizational skills
Attention to detail and ability to prioritize independently
Ability to multi-task in a changing and fast-paced mental health
environment
Ability to work in a highly collaborative team environment
Ability to communicate verbally and in writing
Ability to interact with clients and peers in a professional and
empathetic manner
Supervision Received:
Reports to Program Director
Environmental Conditions:
General medical office environment.
